Equal Arts Case Study
Equal Arts were starting a new service for their clients and needed a system to manage it. They needed a way to keep track of appointments with real time monitoring of progress.
Being a new service; we worked closely with them on the how the service would function, making sure that the system fit as closely to this as possible.
At its core, the system is a database of clients accessing the service. All of the details are encrypted at the database level, ensuring all data is secure even in the event of of a database dump.
The system then features a system to match clients together, based on a number of variables including interests and location. The user has the ability to either choose clients that the system has picked, or override it and choose clients that they wish.
The next part of the system deals with creating appointments for these matched clients. Users can set up appointments based on the free time they have specified, the system will then send updates about upcoming appointments to the user.
Once an appointment is underway, the user can report updates in real time. These include when clients have been collected; when the appointment is over and when the client has been dropped back off home.
Office staff are able to log into the system keep track of these appointments and see exactly where in the process everyone is.
The new service has been hugely successful and the system running alongside has been vital to the smooth running of it. Clients receive more time doing what they like because users of the system aren’t bogged down with paperwork.
